1. Introduction

Global Coin Consult OÜ (hereinafter also referred to as “Global Coin Consult”, “us” or “we”) appreciates your interest in our products and services. Your privacy is very important to us and we want you to feel comfortable using our products and services and visiting our websites. The responsible and lawful handling of your personal data is of particular concern to Global Coin Consult. To this end, we take precautions such as implementing robust technical and organisational security measures including password encryption, firewalls, authentication technologies, access management, employee awareness and training, and the appointment of a data protection officer.

This Privacy Policy describes how we process your personal data when you use our products and services, visit our websites, use our mobile applications or register for a service and provide information about yourself (hereinafter “Global Coin Consult Services”).

2. Processing of personal data

2.1 Categories of personal data

Global Coin Consult processes various categories of personal data (e.g. data of customers, prospective customers, website users, suppliers, vendors or other third parties), limits their processing to a necessary minimum and in accordance with applicable laws and regulations. This includes the following:

Master Data (e.g. name, address, email address, telephone number, date of birth, account and contract number, other account information, completed transactions or third parties, e.g. family members, agents, consultants, who may also be affected by the data processing, and other data provided to us when a person voluntarily fills in a registration form or a comment field for a newsletter or uses certain services).

Risk management, transaction and/or order data (e.g. data on the recipients of a bank transfer, card payments, data on advisory products, risk and investment profiles, fraud cases).

Technical data (e.g. IP addresses, browser plug-in types and versions, cookies, internal and external identifiers, logging data, record of access and changes, content accessed by the user of the website, including time and date of access, business/account number).

Marketing data (e.g. preferences, requests, reference material requested).

It is not the intention of Global Coin Consult to collect sensitive data (also called special category data) unless required by law. Sensitive data includes various types of data about racial or ethnic origin, political opinions, religious or similar beliefs, trade union membership, physical or mental health, sex life or criminal records. Global Coin Consult recommends that you do not provide such sensitive data and advises you that you do so at your own risk if you choose to do so.

2.2 Source of personal data

In accordance with the purposes set out in paragraph 2.3, we may collect personal data – to the extent permitted by law – in particular from the following sources:

Personal data provided to us by the data subject, namely when opening an account, during a consultation, when making an enquiry, as part of a registration on our websites or when using certain products and services, when registering for a newsletter and/or an event, when participating in discussion forums or other social media features on our websites or when providing information in connection with a job application.

Personal data that is necessary to enable products and services and is transmitted to us via the technical infrastructure (e.g. via our websites, login information, e-banking, apps, payment and trading transactions or cooperations with financial or IT service providers or marketplaces and stocks).

Personal data from third parties, such as authorities, sanction lists (e.g. UN/EU), Worldcheck, rating agencies, credit agencies (e.g. Swiss Central Office for Credit Information (ZEK), Consumer Credit Information Centre (IK), Schufa Holding AG (SCHUFA)), analytics providers or providers of search information as well as group companies from Global Coin Consult.

Personal data that can be publicly analysed (e.g. public register information, public social media platforms).

2.3 Purpose and use of data

Global Coin Consult may process personal data as described above for the provision of our services and/or for our own lawful purposes and to the extent permitted by law. This includes in particular the following:

Processing, improving, managing and executing our products and services and to update the data of individuals with whom we have a business relationship.

Product and service development, statistics, business decisions (e.g. developing ideas for new or evaluating existing products, services, processes, technologies and revenues, determining key figures for the use of services and utilisation figures).

Management, control and monitoring of business-related decisions and risks, timely settlement of transactions (e.g. investor profiles, limits, market, credit, operational and fraud risks).

System administration and reporting such as statistical information on browsing patterns and actions that do not allow conclusions to be drawn about individuals.

Compliance with legal and/or regulatory disclosure, notification and reporting obligations to authorities and courts, including but not limited to money laundering and terrorist financing (e.g. automatic exchange of information with foreign tax authorities, public prosecutors).

Market research, marketing, comprehensive customer support, advice and information on the range of services and products etc. (e.g. events for customers, interested parties and third parties, cultural events, sponsoring, assessment of customer, market or product potential, information on changes, determination of customer satisfaction, online and print advertisements).

Protecting our interests and rights in the event of claims against us or our employees and clients.

Global Coin Consult may communicate with you via email or other types of newsletters containing and offering news, promotional offers, event information or services (“Newsletter Services”) if you are a registered user (i.e. if you create a user account with us) and opt-in to receive Newsletter Services. If you do not wish to receive marketing communications or newsletters from us, you may opt-out by following the instructions in the footer of each email or by contacting us.

3. Transmission of data on the internet

Please note that data transmitted over the Internet may not be adequately secured during transmission, even if the sender and recipient are in the same country.

We cannot guarantee the security of data transmitted over the Internet and accept no liability in this respect. Any communications you send to us by email may not be secure. If you send confidential information to us by email, you do so at your own risk. When contacting us, please do not send your information over the Internet, but through a secure mechanism where appropriate.

The sender and recipient can be identified even when information is sent in encrypted form. A third party could therefore – unintentionally or not – conclude a business relationship between you and Global Coin Consult. We therefore recommend avoiding the transmission of strictly confidential information via the internet.

4. Outsourcing

In certain circumstances, Global Coin Consult may be required to outsource business areas and services in whole or in part to Global Coin Consult companies or to service providers outside Global Coin Consult (e.g. payment transactions, IT systems and other support functions). We may also use such service providers for services that are new and have not previously been provided by us.

In such cases, we generally use service providers based in the EU/EEA and Switzerland and, where possible, give preference to our own group companies where available for this area to ensure compliance with the relevant laws and regulations. If customer data has to be passed on to service providers, the corresponding service providers are also bound by bank-client confidentiality and other applicable regulations. If, exceptionally, services are outsourced to a provider outside of the aforementioned regions, Global Coin Consult will disclose them in accordance with the applicable regulations.

5. Storage of data

Where you have provided us with personal information, that information will be stored securely for the purposes set out in this Privacy Policy and for the purposes for which the information was provided.

We have implemented appropriate and robust data security measures to ensure that this information is only accessible to a limited number of authorised individuals and that it is protected from unauthorised access, misuse, loss or damage.

Generally, all data collected in a country inside or outside the EU or by a Global Coin Consult company is transferred by us to the EU and stored there. The EU is recognised as a legal framework that provides an adequate level of data protection.

Although the retention period for personal data depends on the legal retention requirements, the applicable legal basis and the purpose of the data processing, Global Coin Consult will only retain your personal data for as long as necessary, taking into account our obligation to respond to enquiries or resolve problems, to provide improved and new services and to act in accordance with applicable laws and regulations.

In particular, this means that we are entitled to retain your personal data for a reasonable period of time after you last contacted us. When the personal data we collect is no longer needed, we are obliged to delete it in a secure manner.

6. Rights of the data subject

You have the right to be informed whether personal data concerning you is being processed by us. Upon request, we will inform you of the personal data stored in our databases, including available information on the origin of the data, the purpose and, where applicable, the legal basis for the processing, as well as the categories of personal data processed, the parties involved in the data collection and the data recipients.

You may withdraw your consent to the processing of your personal data at any time and/or object to the use of your data for advertising or marketing purposes. You can exercise other rights, such as the right to rectification, and you also have the right to have inaccurate personal data rectified or to block or erase your personal data, depending on the legal basis on which we process certain personal data.

7. Note on children

Global Coin Consult recognises the importance of protecting the privacy of children, particularly in an online environment. Therefore, our services are not aimed at children under the age of 14 and we do not knowingly collect personal data from such users unless a child is applying for an apprenticeship, traineeship or induction day. In this case, we obtain written consent from parents or guardians for apprentices.

8. Cookies and web analytics services

We also use web analytics tools to gather information about how people use our websites and internet services. These tools are usually provided by third parties. Typically, the information for this purpose is collected using cookies and sent to a third-party server. Depending on the provider, these servers may be located in other countries.

We only transmit shortened IP addresses, which prevents the identification of individual end devices. Your IP address is not linked to other data of these third parties. A transfer by third parties only takes place on the basis of legal provisions or within the framework of a service contract for data processing.
